Accreditation isn't broken — you are. Not because you're failing, but because the system you're running has outgrown the tools you're using to manage it.

Most Accreditation Coordinators I speak with are doing remarkable work with remarkably inadequate tools. They're juggling spreadsheets, chasing faculty for evidence, and rebuilding their accreditation structures from scratch every few years because the institutional knowledge walked out the door when their predecessor took a different job.

You don't need another spreadsheet. You need a connected view of your evidence.

Here are five signs that your accreditation process is due for an upgrade.


1. You Spend More Time Rebuilding Structure Than Gathering Evidence

Every 5–7 years, your program goes through a self-study. If you're like most coordinators, you start that self-study by recreating the entire GA (Graduate Attribute) mapping structure from scratch — copying indicator names from last time, re-establishing course-to-indicator links, and hoping you didn't miss anything.

This isn't productivity. It's reinvention.

A modern accreditation system preserves your evidence map year over year. When a new coordinator takes over, they inherit the full structure and can immediately see what evidence exists, what's missing, and where the gaps are. You stop rebuilding and start improving.

2. Your "Accreditation Spreadsheet" Has Become Unmanageable

How many tabs does your spreadsheet have? How many conditional formatting rules to highlight missing evidence? How many VLOOKUPs to pull in course data from other sheets?

If the answer to any of these questions requires a meeting, a spreadsheet export, or three hours of manual filtering, you're operating blind. You're making decisions about accreditation readiness based on estimates rather than data.

A proper system centralizes evidence with clear ownership. Each piece of evidence is linked to an indicator, tagged with metadata (course, year, assessment type), and accessible to anyone who needs it. No more chasing faculty for "that file from last year."

5. You're Working on Accreditation Full-Time, But Your Program Needs You for Curriculum

Here's the uncomfortable truth: if you're spending 40+ hours a week on accreditation administration, you're not doing the work that actually improves your program.
